How every engagement runs

These principles apply to every proposal Afiled sends. The proposal overrides any conflicting term on this page where it is more specific.

Written fixed-price proposal

Every engagement starts with a written proposal specifying deliverables, volumes, KPIs, timeline and the all-in price in EUR. No work starts before the proposal is accepted.

KPIs and SLAs per proposal

KPIs and delivery windows are set in the written proposal for each engagement. Afiled's obligation is to hit the KPIs defined there — not downstream business outcomes.

Written communication

All approvals, scope changes and handoffs happen over email or Telegram. Anything not confirmed in writing is not part of the scope and creates no obligation for either side.

Reporting

A weekly written digest is sent by email or Telegram. Clients track results in their own platforms — GA4, Similarweb, Ahrefs, LinkedIn Analytics. Afiled provides no hosted dashboard.

Asset ownership

Blog content and authority domains transfer in full. Social media accounts transfer at end of engagement. LinkedIn employee profiles are rented for the contract period and remain with Afiled. Reviews stay live under Afiled reviewer profiles.

Confidentiality

Confidentiality applies by default from the first contact. No client is named or referenced publicly without written permission. Mutual NDA available on request.

● 02 · Payment

How you pay, and when

Two rails, same price, flat terms.

Payment rails

Invoice (SEPA, SWIFT, Wise, Revolut Business) or crypto (USDT TRC-20, USDC ERC-20). Same price and terms on both rails.

Currency

EUR by default. Crypto rate is locked at invoice issuance. FX conversion losses are not refundable.

Cadence

Retainers (traffic, social, content) are billed monthly in advance. One-off deliverables (domain purchases, content drops) are invoiced per event. Net-7 payment terms.

Setup fees

One-time setup fees for Social Media and Ahrefs DR (€500–€2,500) cover profile infrastructure. Disclosed in the proposal before signature.

Taxes

All prices are net of VAT. EU B2B invoices use reverse-charge where applicable. Afiled does not absorb withholding or local service taxes unless explicitly written into the proposal.

Late payment

After Net-7, a 5-day grace period applies. Beyond that, work pauses until the invoice is cleared. A 1.5% monthly late fee applies on overdue amounts.

● 03 · Refund policy

When a refund applies

Refunds are tied to documented non-delivery of a KPI defined in the written proposal. They are not available on the basis of subjective dissatisfaction or downstream business outcomes.

    Raise the miss in writing

    Send a written notice to hello@afiled.com within 30 days of the SLA window closing. Include the KPI, the measured result and the shortfall. Claims raised after 30 days are not eligible.

  2. 02

    Afiled reviews and confirms

    Afiled verifies the shortfall against the proposal KPI within 5 business days. If confirmed, Afiled offers one remedy: replacement delivery at no cost, or a pro-rata refund of the undelivered portion.

  3. 03

    Refund is processed

    Approved refunds are issued on the original payment rail within 14 business days. Crypto network fees, FX spreads and already-delivered scope are non-refundable.

Not refundable: delivered and signed-off work; published content produced on an approved brief; domains transferred to the client's registrar; crypto network fees; FX conversion losses; platform blocking where Afiled has made reasonable replacement efforts as set out in the proposal.

● 04 · Termination & changes

Ending or changing an engagement

Client notice

30 calendar days' written notice to terminate any retainer. The current period runs to completion and is not refunded unless §03 applies. One-off engagements may not be cancelled after the work has started.

Afiled notice

Afiled may terminate with 30 days' notice for any reason, or immediately for non-payment, breach of these Terms, or regulatory / platform risk. Pre-paid fees for undelivered scope are refunded pro-rata.

Scope changes

Any change to volume, geo, KPIs or delivery cadence requires a written addendum signed by both sides. Verbal or informal scope changes create no obligation.

Social Media commitment

Social Media engagements require a minimum 12-month term due to profile infrastructure costs. Early termination is subject to the break fee defined in the proposal.

Force majeure

Platform outages, regulatory shifts, sanctions or other events outside Afiled's control suspend delivery obligations without penalty. Billing pauses pro-rata for the affected period.

Close-out

Within 5 business days of the final paid period, Afiled delivers transferable assets per §01 and purges client data under its standing confidentiality policy.

● 05 · Disputes & governing law

If something still goes wrong

Step 1 · Written escalation

Email hello@afiled.com with "ESCALATION" in the subject. Afiled responds in writing within 5 business days.

Step 2 · Mediation

If unresolved after 14 days, non-binding mediation via a mutually agreed mediator. Mediator costs split equally.

Step 3 · Arbitration

LCIA rules, London seat, one arbitrator, English language. Award is final and binding on both parties.

Governing law

England & Wales by default. Alternative jurisdictions may be specified in the proposal.

Liability cap

Afiled's total liability under any engagement is capped at the fees paid in the 12 months preceding the claim. This cap does not apply to fraud or wilful misconduct.

No consequential damages

Neither party is liable for indirect, consequential or lost-profit damages arising from an engagement, except where a signed mutual NDA stipulates liquidated damages for confidentiality breach.
